Using Pre Defined Templates set up automation between your PMS and ChargeAutomation

Step 1 - Log in to ChargeAutomation.com

Step 2 - Connect your Payment Gateway then click Continue.

Step 3 - In Account Setup, go to Step 2. PMS Connection and select your Zapier Integrated PMS (i.e. Cloudbeds, Mews, Uplisting, BookingSync, Zeevou).

If your Zapier Integrated PMS is not listed select Zapier in the dropdown.

Step 4 - When you click on Continue Button a modal will ask if you have successfully connected your PMS through Zapier to ChargeAutomation go ahead and click on Yes.

Step 5 - Set up your Auto Payment Rules and click Continue

Step 6: You are now in Online Check-in Setup. Turn ON the data or information you'd like to collect from your guest under Guest Experience. You can also add Custom Questions and Terms & Conditions. Click on Continue.

Step 7 - On Activate Properties be sure to Update the Default Property with your property details and also add other Properties as needed.

Step 8 - For Zapier to work, Properties within ChargeAutomation must have the Property ID from your PMS.

To do this, go to "Settings" >> "Properties" and populate the External ID field with the unique ID of the Property within your PMS.

Step 9 - Again, click on “Settings” >> "Applications" >> "Zapier"

Step 10 - On the Zapier page on ChargeAutomation click the "Generate Key" button to generate an API Key.

Do this if the Zapier API Key does not exist already. If it does skip to Step 11.

Step 11 - After generating the "Zapier API Key" copy the key and use it when creating your Zap.


What’s a Zap?

A zap is an integration, or a workflow, created using Zapier between two or more applications that automates a series of actions (tasks or functions) based on conditions known as triggers. Zaps can be set up in minutes with no coding, and they can automate your day-to-day tasks by building workflows between apps.

Using Exiting Zap Templates to Connect ChargeAutomation to your PMS

If you selected a Zapier Integrated PMS in Step 3 above, you can use already created templates in this section. If you selected "Zapier" as your PMS, please skip to Step 17

Step 12 - Click on the template you would like to Automate using Zapier

Step 13 - Clicking on "Use This Zap" above will redirect you to a different Zapier Page

Sign into your PMS account and then click Continue

Step 14 - Once you click on Continue above, it will take you to the Action Step which is where you will sign into your ChargeAutomation Account.

Step 14a- In the "Choose account" section click the Sign In button to connect to

ChargeAutomation. It will redirect you to a "Allow Zapier" Page.

Step 14b - On the "Allow Zapier" Page, you must enter the API Key that you generated on ChargeAutomation then click the "Yes Continue" button.

Step 14c - Click on Continue

Step 15 - In the Action Tab, ChargeAutomation has pre mapped the fields from your PMS to ChargeAutomation so you should not change any of the mapping values.

Step 16 - You can decide to Run a Test or Skip the test depending on your preference. But to complete this process just click on Publish Zap and you are good to go!

Creating Custom Zaps to Connect ChargeAutomation to your PMS within ChargeAutomation

Step 17 - You will see the Full Zapier Experience where you can log into Zapier. But first, check that the Template you are looking for between your PMS and ChargeAutomation does not already exist.

*Note* - If the Template exists, then go back to Step 12 and contact support that you need to change your PMS connection to the appropriate PMS. If the template does not exist, then continue with Step 18

Step 18 - After you Login in and get redirected back to ChargeAutomation, click on Create Zap

Step 19 - In the "Trigger" Section you have to search and select your trigger app. For example if your trigger app (i.e. PMS) is "Planyo Online Booking" select "Planyo Online Booking" just like the image below

Step 20 - After you've chosen your Trigger app, you can choose your "Event" for example "New Reservation". Then Click the "Continue" button

For example select New Reservation event if you want to create a new reservation, Updated Reservation event if you want to update a reservation on ChargeAutomation or Cancel Reservation if you want to set a reservation on ChargeAutomation as cancelled.

Step 21 - Select your "Trigger app Account" in the Chose account section then Click the "Continue" button .

Step 22 - In the "Test Trigger" section, click the "Test trigger" button.

Zapier will find a Reservation from your Trigger app and display it to you as a test sample similar to the image below

Step 23 - You must select Latest "ChargeAutomation" in the Action section.

Step 25 - Select the corresponding event that you selected in the trigger section then click the "Continue" button.

Step 26 - In the Action "Choose account" section click the Sign In button to connect to ChargeAutomation. It will redirect you to the "Allow Zapier" Page.

Step 27 - On the "Allow Zapier" Page you must enter the API Key that you have generated on ChargeAutomation then click the "Yes Continue" button.

Step 28 - In the Section "Action" you have to Map the fields especially those marked as required from your PMS to ChargeAutomation.

Step 29 - After mapping the fields Click Continue

You have successfully created your Zap.

Final step is to Click on Publish to make the Zap Active.
