Connect your Smoobu account with ChargeAutomation

Setting up your ChargeAutomation with Smoobu

1. Log in to your Smoobu Account then go to Advanced >> API Keys.

2. Paste this link -> https://app.chargeautomation.com/api/smoobu/booking into the Webhook Url field of Smoobu as shown below.

3. Copy the API Key or Click Generate API Key to get a new one.

Important Note: Trial users of Smoobu must request an API Key from Customer Support team.

4. Paste the API Key from Smoobu to PMS page in ChargeAutomation.

5. If you would like ChargeAutomation to retrieve access code for your bookings, please click on the checkbox that says "Retrieve booking access codes from Smoobu".

6. Click Save and Continue.

7. Now you can continue and customize your guest experience & payment rules per Booking Channel & per Property. Last step is to activate your properties and you're done.

8. The rules will apply to new reservations after you go live. You can also manually share the same rules to existing reservations if you choose to.

Data Sync

When you connect Smoobu and ChargeAutomation, booking data will sync automatically.

How to send Pre Check-in Link from Smoobu

Each reservation's unique pre check in link can be generated using the below template URL. Copy the template URL below and paste it into your template messages on Smoobu.

Updating Pre Check-in Status in Smoobu

When Pre checkin is completed in ChargeAutomation, we can push a field back to your reservation on Smoobu to trigger an automation. This is automatically set up in ChargeAutomation. To see the settings, please follow below steps:

  1. Go to Settings > Preferences > PMS Modification.

  2. If not already activated, activate "Pre Checkin Complete" like below:

  3. Under Notes, leave the value "CA Pre-Checkin Completed." or change it to any value you want.

  4. The Notes field on the booking in Smoobu will show as "CA Pre-Checkin Completed" once pre check-in is completed.

  5. Do not forget to click on Save.


How to collect reservation payments for your Smoobu Homepage bookings using ChargeAutomation

If you want ChargeAutomation to collect the payments for your Smoobu Homepage bookings, here are the process on how you can set your payment rules on ChargeAutomation:

  1. , On your Smoobu account and under Booking System settings, set the "Prepayment" amount into ZERO or for example 10% or any percentage or a fixed value that you want to collect initially when guest is making the booking on your Homepage site.

  2. Then on your ChargeAutomation account, go to your Auto Payments settings then set your payment arrangements for your Smoobu Homepage source according to how much you want to collect after booking and/or how much days before arrival.

    A. Collect 100% after booking using ChargeAutomation

    • If you want to collect 100% of the booking payment using ChargeAutomation, make sure you set the PREPAYMENT on Smoobu into ZERO then on your Auto payments, set the Reservation payment to 100% immediately after booking or any number of days after booking or before check in.

    B. Collect payments by schedule

    • If you want to collect a certain percentage first after booking, for example 25% after booking and the balance days before check in using ChargeAutomation, then set your PREPAYMENT on Smoobu to ZERO, then set your Auto Payments on ChargeAutomation like this image below:

    C. Collect deposit via Smoobu then the balance using ChargeAutomation

    • If you want to collect 25% via Smoobu at the time of booking, then set 25% on Smoobu Prepayment settings and set the Reservation payment on ChargeAutomation to 100% of booking (technically we will only fetch the balance of the booking from Smoobu, so setting it to 100% means collecting the total balance of the booking using ChargeAutomation).
      Then set the number of days after booking or before check in as to when you would like the balance to be collected.
