Smart Guidebook (conditional guide)

Display information in guide only when certain conditions are met

You can now control when *sensitive information* can be visible to a guest in the Guidebook.

Instruction:

2. Click "+Add New Guide".

3. Save.

How It Appears To Your Guest in Guidebook

Note: If you are not collecting security deposit or reservation for a booking source through ChargeAutomation, the system assumes security deposit & reservation payment as already collected collected

Examples:
If you have enabled ChargeAutomation to collect Security Deposit for Booking.com reservations and you have a Security Deposit Authorized set to Yes in your guide criteria. The information in the guide will not be displayed to guest until security deposit is authorized.

If for example, you have Not set ChargeAutomation to collect security deposit for Airbnb reservations but you have Security Deposit Authorized set to Yes in your guide criteria. The system will assume security deposit is already collected via other means, therefore the information in the guide will be displayed to guest.

Waiving Security Deposits for Guidebook Access.

If you want to allow a guest to access the guidebook but a security deposit is blocking their access, follow these steps:

  1. Locate the booking that requires a waiver for the deposit.

  2. Choose the Void option on the booking's security deposit. This will waive the security deposit requirement, allowing the guest to proceed and access the guidebook automatically through the Guest Portal.

  3. Go to the relevant booking in ChargeAutomation.

  4. Click the blue icon with three dots next to the booking information.

  5. Select the Share option to send the link manually. This ensures that your guest has seamless access to the guidebook, whether by default or through manual sharing.
