Use Dynamic Variables in Your Guidebook

Managing multiple properties? You don't need to create a separate Guidebook for every property.

With dynamic variables, you can create one reusable Guidebook and automatically display the correct property-specific information for each guest — such as Wi-Fi details, access codes, parking instructions, check-in information, and more.

🏠 How Dynamic Variables Work

Instead of manually adding property information to every Guidebook, you can store the information at the property or rental level and use a dynamic variable in your Guidebook.

When a guest opens their Guidebook, ChargeAutomation automatically replaces the variable with the information associated with their reservation.

📶 Add Wi-Fi Information

You can store Wi-Fi information at the property level and display it dynamically in your Guidebook.

For example, add the property's Wi-Fi details and then use: {Property_Wifi_Details} in the Guide.

🔐 Display Access Codes Dynamically

You can also use dynamic variables to display access or door codes.

Depending on how your access code is configured, ChargeAutomation supports different access-code variables.

🔑 Booking-specific access code

If every reservation has a different access code, use:

{Booking_Access_Code}

🏠 Property access code

If the same access code is used for all bookings at a property, use:

{Property_Access_Code}

🚪 Rental access code

If you have different access codes for individual rentals/units, use:

{Rental_Access_Code}

ChargeAutomation can also retrieve access codes from supported PMS and smart-lock integrations and make them available in the appropriate booking/property fields.

✨ Use Custom Property Variables

You aren't limited to Wi-Fi and access codes.

ChargeAutomation now allows you to create unlimited Property Custom Variables that can be reused across your Guidebooks and guest communications.

For example, you could create variables for:

  • 🅿️ Parking instructions

  • 🏊 Pool instructions

  • 🔥 BBQ instructions

  • 🏠 Check-in information

  • 📋 House rules

  • 🚗 Directions

  • 🗑️ Trash/garbage instructions

  • 📺 TV instructions

  • 🧺 Laundry instructions

  • 📞 Property-specific contact information

Example

Create a custom field called: Parking Instructions

ChargeAutomation generates a variable such as:

{Parking_Instructions}

You can then add it to your Guidebook:

🅿️ Parking

{Parking_Instructions}

Each property can have its own parking instructions while you continue using the same Guidebook template.

⚙️ How to Create a Custom Property Variable

  1. Go to Settings → Preferences → Custom Fields.

  2. Click New Custom Field.

  3. Select the appropriate field type.

  4. Enter a Display Name.

  5. ChargeAutomation will automatically generate the variable name.

  6. Click Save.

  7. Open the relevant property and enter the property-specific information.

  8. Save the property.

You can then copy the generated variable and add it to your Guidebook or guest communication.

💡 Tip: Use Long Text for information such as parking instructions, Wi-Fi details, check-in instructions, or house rules.
