ChargeAutomation can display booking-specific, property-wide, or rental-specific access codes directly in the Guest Portal. You can also control when guests are allowed to see the code based on conditions such as payment, security deposit authorization, guest verification, or check-in timing.

🧩 Choose the Right Access Code Type

ChargeAutomation supports three main access-code configurations:

πŸ”‘ 1. Booking Access Code

Use a Booking Access Code when every reservation has its own unique code.

The correct code is automatically displayed for each guest.

Where does the code come from?

The code can be:

  • πŸ”„ Retrieved from your PMS

  • πŸ€– Generated through a connected ChargeAutomation smart-lock integration

  • ✏️ Entered or edited manually in the booking

If your PMS generates the smart-lock code, ChargeAutomation retrieves the code and places it in the booking's Access Code field.

Add the code to your Guidebook

Use: {Booking_Access_Code}

For example:

Your Door Code: {Booking_Access_Code}

ChargeAutomation automatically replaces the variable with the correct code for that booking.


🏠 2. Property Access Code

Use a Property Access Code when the same access code is shared by all guests staying at a property.

Sunset Villa
Door Code: 2580

All bookings for Sunset Villa will use the same property access code.

Add a Property Access Code

  1. βš™οΈ Go to Settings β†’ Properties

  2. 🏠 Select the property

  3. πŸ”‘ Add the access code

  4. πŸ’Ύ Save your changes

Then use: {Property_Access_Code} in your Guidebook.


πŸšͺ 3. Rental Access Code

Use a Rental Access Code when one property contains multiple rooms, apartments, or rental units and each unit has its own code.

Use: {Rental_Access_Code}

ChargeAutomation will display the code associated with the guest's rental.

This is especially useful for multi-unit buildings, hotels, and properties where each room or apartment has a different smart lock.

How it works

  1. πŸ“… A reservation is received from your booking channel.

  2. 🏠 The reservation is added to your PMS.

  3. πŸ” Your PMS notifies the smart-lock provider.

  4. πŸ€– The smart-lock provider generates an access code.

  5. πŸ”„ The code is added to the reservation in your PMS.

  6. ⚑ ChargeAutomation retrieves the code from the PMS.

  7. πŸ”‘ The code becomes available in ChargeAutomation.

  8. πŸ‘€ The guest can see the code in their Guest Portal once the required conditions are met.

The synchronization may be immediate or may take some time depending on the PMS and smart-lock integration.


πŸ” Using ChargeAutomation Smart Locks

ChargeAutomation also supports direct smart-lock integrations.

With the ChargeAutomation Locks Manager, you can connect supported lock/access systems, map devices to your properties, and automate guest access. ChargeAutomation currently supports 40+ smart-lock providers.

Connect a Smart Lock

  1. πŸ” Sign in to ChargeAutomation.

  2. βš™οΈ Go to Smartlocks.

  3. Click ChargeAutomation Locks Manager.

  4. Click Connect New Account.

  5. πŸ”Ž Select your lock or access system.

  6. πŸ”‘ Sign in with your lock-provider credentials.

  7. 🏠 Map each device to the correct property or rental.

  8. πŸ’Ύ Save the mapping.

Once connected, ChargeAutomation can automate access-code creation, updates, and revocation for supported systems.


⏰ When Are Smart-Lock Codes Generated?

Access-code timing depends on the smart-lock provider and integration.

For ChargeAutomation's supported smart-lock workflow:

πŸ“… Standard Bookings

For reservations made more than 5 days before arrival, access codes are generally generated 5 days before check-in.

⚠️ Some smart locks may only generate codes 24–48 hours before check-in.

⚑ Last-Minute Bookings

For reservations made within 5 days of arrival, access codes are generated immediately after booking.

πŸ”„ Booking Changes

If the reservation dates change or the guest is moved to another rental, the access code can be automatically updated for supported integrations.

πŸ• Grace Period

For supported ChargeAutomation smart-lock integrations, codes are designed to activate 15 minutes before check-in and remain active until 15 minutes after check-out.

Important: Exact code-generation and activation behavior depends on your smart-lock provider.


πŸ”’ Control When Guests See the Code

You don't have to show an access code as soon as a reservation is created.

Use a Smart Guidebook / Conditional Guide to decide when the access information becomes visible.

For example, you can require:

Step 2 β€” Create or edit a Guide

Click + Add New Guide or open an existing Guidebook.

Step 3 β€” Add your access instructions

Choose when the Guide or access-code information should become available.

Step 5 β€” Save and test

The access code is displayed inside the guest's personalized Guest Portal.

Guests don't need to download an app to access their Guest Portal.

If the conditions for the access-code Guide have not been met, the restricted information remains unavailable until the configured requirements are satisfied.

Before using your access-code workflow with real guests:

βœ… Create a test booking

Confirm that the reservation appears correctly in ChargeAutomation.

βœ… Confirm the code exists

Check the booking and make sure the Access Code field contains the expected value.

βœ… Test the Guidebook variable

Make sure the correct variable is being used:

Confirm that the code is hidden before the required conditions are completed and becomes visible afterward.

Open the Guest Portal using a test booking and confirm that the instructions are clear and easy to follow.


πŸ”Ž Troubleshooting

The access code is missing from ChargeAutomation

First, check whether the code exists in your PMS or smart-lock provider.

If the code is not available there, ChargeAutomation cannot retrieve it.

The code exists in the PMS but not in ChargeAutomation

Check that your PMS integration is configured to retrieve access codes.

Some PMS integrations require a specific setting to be enabled. For example, Smoobu has an option called β€œRetrieve booking access codes from Smoobu.”

The wrong code is displayed

Check which access-code variable you are using.

Using the wrong variable can result in the wrong access information being displayed.

The guest can't see the access code

Check:

  4. πŸ”’ Are there conditions preventing the Guide from being displayed?

For the best guest experience, keep access instructions simple.

Instead of:
