How to Send the Check-In Link from your PMS

Learn how to send the Pre Check-In link to your guests via your PMS.

To send a pre-check-in link directly from your Property Management System (PMS) instead of Charge Automation, you can use the "Push Back" feature. This allows ChargeAutomation to sync the unique guest link into a custom field within your PMS, which you can then insert into your own automated message templates.

1. Enable the Link Push-Back in ChargeAutomation

First, you must ensure ChargeAutomation is configured to send the link to your PMS:

  • Go to Settings > Integrations in your ChargeAutomation dashboard.

  • Select your connected PMS (e.g., Hostaway, Guesty, OwnerRez).

  • Look for the "Sync Back" or "Custom Fields" section.

  • Enable the option to "Push Pre-check-in Link to PMS."

  • Note: For some PMSs like OwnerRez, this is a standard 1-way push of the "CA Link" field.

2. Identify the Custom Field in Your PMS

Once enabled, ChargeAutomation will create or populate a specific field in your reservation details. Common field names include:

  • Hostaway: {{custom_field_chargeautomation_link}}

  • Guesty: {{reservation.customFields.chargeautomation_link}}

  • OwnerRez: {{BCAURL}} or a custom field you've mapped.

  • Hostify: A custom field named "ChargeAutomation Link."

3. Create an Automated Message in Your PMS

Navigate to your PMS's messaging or automation section to set up the guest communication:

  1. Create a Template: Draft a new Email or SMS template (e.g., "Pre-Check-in Instructions").

  2. Insert the Variable: Use the PMS-specific placeholder for the custom field identified in Step 2.

    • Example (Hostaway): "Please complete your registration here: [[custom_field_chargeautomation_link]]"

  3. Set the Trigger: Configure when the message should be sent (e.g., "Immediately after booking" or "3 days before check-in").

Why send from your PMS?

  • Branding Consistency: Keeps all guest communication within your PMS's established voice and formatting.

  • Unified Inbox: Allows you to see the sent link and guest replies in one central location.

  • Channel Integration: Some PMSs can send these links via Airbnb or Booking.com's internal messaging systems, which ChargeAutomation may not always have direct access to.
