Bookings Dashboard

Learn how to track guest activity, payments and manage your reservations.

The Bookings page is the central hub in ChargeAutomation for managing all your reservations. It provides a high-level overview of guest activity, payment statuses, and compliance requirements.



Top of Your Bookings Dashboard:

1. Scoped Views: You can toggle between Upcoming, Today's, and All Bookings to focus on the most relevant reservations.

2. Advanced Search: You can search for bookings using keywords like the Booking ID, Confirmation Code, Guest Name, Email, or Phone Number.

3. Comprehensive Filters: Filter your list by date ranges, booking status, specific properties, or rental units to narrow down your view.


The Add button is to manually add a booking to your dashboard.

The three dots are for exporting bookings.


A Booking's Individual Window:

Actionable 3-Dot Menu: Each booking has a quick-action menu:

  • - View the pre-check-in Guest Link from your guests pov, share it manually, or send a reminder email.

  • - Booking Details: This will take you to a more detailed breakdown of the booking information, including payments, upsells, activity logs, and messages.

- Edit Booking: This will bring up options to manually add information within the

booking.


Status Indicators: At a glance, you can see how many of the guests ahve completed the Pre-checkin link, Payment status (e.g., Scheduled, Paid, Awaiting Approval), and Document count (including whether IDs have been uploaded or approved).

Notice also an area to view any Upsells sold or awaiting approval, as well as the chat window (should you have it enabled).


Drop-down Booking Details:

By expanding your booking window, you have a quick view of the reservation date, guest contact information, arrival time, the reservation's unique access code if applicable, the guest's last portal visit, and payment type.


Payment Schedule

Here you will find important payment details, their dates, status and the ability to void, mark as paid.

Hovering over the dropdown arrow within any payment box, you will encounter actions such as Authorize, Void, Change Amount:

The empty blue box with a + sign, when clicked on allows you to add a charge to the booking:

Once you select the new charge and click on the bottom blue "Charge {price} now", this will add the new charge to your booking window.

📚Payment Statuses:

Paid: Reservation charge is paid

Scheduled: Payment will be charged according to the payment schedule

Not Enabled: Payment rules not enabled

Not Supported: Booking source not supported

OTA Collect: Payment collected by OTA

Overdue: Awaiting approval to be processed

Voided: Cancelled or manually voided booking

📝Important Points to Note

Automatic Search Fallback: If you search for a booking in the "Upcoming" scope and it isn't found, the system will automatically re-query "All Bookings" to help you find it without switching tabs manually.

Virtual Card Detection: The platform has specific logic to identify Virtual Card (VC) bookings (e.g., from Expedia or Booking.com). This ensures they are scheduled for charging on the correct date rather than being treated as standard credit cards.

Trusted Guest Status: You can mark guests as "Trusted" directly from the documents modal in the listings view, which can streamline future interactions with returning guests.

Manual Syncing: For OTA bookings, the "Re-sync" option in the action menu is vital if you suspect the data in ChargeAutomation is out of sync with your PMS.
