How to View, Accept or Decline Submitted Documents on Charge Automation

Learn where and how to verify documents submitted by your guests.

Written by Thomas

To view, accept, or decline submitted documents in Charge Automation, manage guest verification through the quick view on the Bookings page or in the Booking Details.

1. Accessing Guest Documents

There are two primary ways to access and manage documents submitted by your guests:

  • Booking Details Page: Open a specific booking and navigate to the Documents tab. This tab displays all uploaded files, including IDs, passports, and selfies, along with their current status.

  • Booking Listing Modal: From the main Booking Listing page, you can click the Documents icon or the three dots menu to open the Documents modal. This provides a quick overview of the verification status for all guests in that booking.

2. Viewing and Reviewing Submissions

In the Documents tab, you can:

  • View Files: Click on the document thumbnails to inspect the uploaded ID or selfie.

  • Check Status: Each document will show a status such as Pending Approval, Verified, or Rejected.

  • Automatic Verification: If you have Automatic Verification (via Stripe Identity) enabled, the system will attempt to verify the guest biometrically. If it succeeds, the status will update to "Verified" automatically.

3. Accepting or Declining Documents

If a document requires manual review (or if you wish to override an automatic result), you can take the following actions:

  • Approve/Accept: Click the Approve button to confirm the document is valid. This will update the guest's status and allow them to proceed with the pre-check-in flow.

  • Decline/Reject: If a document is blurry, incorrect, or expired, click Decline. You can typically include a reason, which will notify the guest and prompt them to re-upload the document in their guest portal.

  • Mark as Trusted: You can use the "Mark as Trusted" toggle to manually override the verification requirement for a specific guest. This immediately grants them verified status without requiring further document submissions.

4. Manual Uploads

As a host, you also have the ability to manually upload a guest's ID or selfie on their behalf. When you upload documents manually, the system automatically accepts them, ensuring the guest is not blocked from completing their pre-check-in.
