Guest ID & Selfie Images in Host Check-in Emails🆔

We’re introducing new template variables that allow guest ID and selfie images to appear directly inside the Check-in completed email notification sent to hosts or building teams.

Instead of opening booking details or clicking document links, recipients can now review the uploaded guest verification images directly from the email body.

When a guest completes online check-in, hosts and building teams often need quick access to identity documents and selfie verification.

With this update, you can:

  • Review documents faster: See guest ID and selfie images directly in the email.

  • Support building access workflows: Share the right verification details with host/building recipients automatically.

  • Reduce extra clicks: No need to open another page just to view uploaded guest documents.

  • Handle main guest and all guests: Choose whether to include only the main guest or every guest on the booking.

New Template Variables

Four new variables are available for the Check-in completed host notification email:

How It Works 🛠️

  1. Go to Settings → Preferences → Template Messages

  2. Select the Online Check-in Completion Confirmation template

  3. Set the recipient to Host

  4. In the template editor, open the Template Variables panel

  5. Search for the new guest ID or selfie variables

  6. Insert the variables into the email content where you want the images to appear

  7. Once added, the system will automatically replace the variables with the relevant guest images when the check-in completed email is sent

Main Guest Images

Use {{Guest_ID}} to include the main guest’s ID document image directly in the email.

If the ID document has both front and back images, both will be shown and clearly labeled. If the document only has one image, only that image will be shown.

Use {{Guest_Selfie}} to include the main guest’s selfie image.

All Guest Images

Use {{All_Guests_ID}} to include ID images for every guest on the booking.

Each guest will be shown in a separate section using their guest name, so the email stays easy to read.

Use {{All_Guests_Selfie}} to include selfie images for every guest on the booking.

Missing Documents

If a guest does not have an uploaded ID or selfie, the email will show a safe fallback message instead of breaking the template.

For example:

No ID uploaded

or

No selfie uploaded

This ensures the email can still be sent successfully even when some guest documents are missing.

Image Display

Guest images are rendered directly inside the email body. Images are formatted with a maximum width so large ID scans or selfie uploads do not break the email layout.

The images are designed to display properly in common email clients, including Gmail web, Outlook web, and iOS Mail where supported.

Security

Guest document and selfie images remain protected. Images are displayed using secure access methods such as time-limited signed URLs or inline email attachments, depending on the supported email provider flow.

This means images are not exposed through permanent public links.

Availability

This feature is intended for Pro plan clients, depending on the final product configuration.

If the feature is not available on your current plan, you may need to upgrade before using these variables in host notification emails.
